Reconciliation is treated as a filing task. It is closed each month, the difference is noted, and the same difference appears the following month. Nobody asks why, because the return was filed on time and that was the objective.

Read the differences as a pattern

Sort a year of differences by cause rather than by period, and a pattern usually appears within an hour.

  • Invoices raised after dispatch mean goods are moving before documentation. That is a control gap before it is a tax issue.
  • Credit notes clustered at quarter-end usually mean pricing is being settled after the sale rather than before it.
  • Recurring supplier non-filing means the vendor selection process is not testing compliance history.

Each of these costs money in ways that never appear on a tax ledger, working capital tied up, margin conceded late, credit permanently lost.

The fix is a sequence, not a software

In most businesses the correction is straightforward: invoice at dispatch, approve price changes before the sale, and check filing history before a vendor is onboarded. None of that requires a new system. It requires the sequence to be written down and someone to own it.

A reconciliation that never improves is a report nobody is reading.
